Patient enquiries, referrals and follow-ups were spread across a phone register, several spreadsheets and the memory of long-serving staff. Generic CRM products assume a sales funnel — a lead, a deal, a close. A hospital does not work that way. A patient relationship is long, recurring, involves several departments, and is bound by expectations about who may see what.
We spent time watching the front desk and the departments before designing anything. The system we built follows the hospital's own path — enquiry, appointment, department, follow-up, recall — rather than a sales pipeline bent into shape. Role-based access was in the design from the first day, not added later: reception, department staff and administration each see what their role needs and nothing further. Follow-up and recall reminders are automated, which is the part that was quietly being missed.
